StockSnap

StockSnap turns any POS device into a stock take, receiving, removal, and transfer station. This guide covers what to set up before your first count, and how each part of the app works day to day.

Setup

Before you start

A few things need to be in place before StockSnap will work correctly on the floor.

Install and choose a plan

Install StockSnap and approve the permissions it requests. On first open you'll choose a plan through Shopify's own billing screen — the app won't be usable until a plan is selected.

Add the StockSnap tile to POS

Installing the app doesn't put it on the POS home screen automatically. On each device: tap ··· → Edit tiles → find StockSnap → add it to the grid → save. Repeat once per register.

Check your locations

Stock takes, receiving, and removal use whichever location the staff member is checked into. Transfers need at least two active locations — with only one, that option is disabled with an explanation on screen.

Camera or barcode scanner

Scanning uses the device camera or an attached scanner. If a barcode isn't recognized, every screen also has a manual search box — by product name or SKU — as a fallback.

Socket scanner mode & device sleep

Pairing a Socket Mobile Bluetooth scanner? Set it to Application Mode, not Keyboard Mode, so scans reach StockSnap reliably. And turn off the device's own screen timeout — a long count can easily outlast it and interrupt your session.

Admin

Setting up StockSnap

Configure StockSnap from Shopify admin → Apps → StockSnap before staff start using it.

Defaults

Default: zero unscanned items During a stock take, any item in the selected collection that wasn't scanned gets its quantity set to 0 when you finish. Turn this off to only adjust the items you actually scanned.
Scan sound enabled Plays a short tone on every successful or failed scan.
Show item images while scanning Shows a product thumbnail next to each scanned item. Turning it off gives item names more room — useful for long names with variants that were getting cut off.

Variant display

Products can have up to 3 variant options (e.g. Color, Material, Size). Choose which option(s) show up in item titles on POS, instead of always showing the full "Red / Leather / 10" string — check just Size, say, and titles shorten to just that value. If none of a product's checked options apply to it, the full variant title is shown instead, so nothing goes blank.

Staff

Add a staff member by name, then toggle them Enabled. Only enabled staff appear in the staff picker on POS — this lets you keep someone in the list for historical reports without them being selectable going forward. Staff selection is required before every stock take, receipt, removal, or transfer, so reports can be attributed to the person who did the work.

Collections

Check the collections that should be selectable for stock takes on POS. If none are checked, all collections are selectable. This only applies to Stock Take — Receiving, Removal, and Transfers work by scanning or searching any product directly, not by collection.

Using StockSnap on POS

Tap the StockSnap tile on the POS home screen, then choose a mode.

Count and reconcile inventory for a specific collection at your current location.

  1. Choose a collection to count.
  2. Choose a staff member.
  3. Scan or search every item — no barcode? Use the search field to find it by name or SKU. Adjust any count manually with +/− or by typing a number.
  4. Review scanned and unscanned items before finishing.
  5. Finish — quantities update in Shopify immediately and a report saves automatically.

Add to Inventory

Receiving

Add new stock to your current levels when it arrives — no collection restriction.

  1. Choose a staff member.
  2. Scan or search each item and enter the quantity received.
  3. Finish — scanned quantities are added to existing stock, and a report saves automatically.

Remove Inventory

Removal

Take stock out — damage, personal or owner use, shrinkage/theft, quality control holds, or anything else.

  1. Choose a reason — a preset (Damaged, Shrinkage/theft, Quality control, Personal/owner use, Other) plus optional detail text. Presets send the matching official reason to Shopify's own inventory adjustment history, not just StockSnap's reports.
  2. Choose a staff member.
  3. Scan or search each item and enter the quantity to remove.
  4. Confirm — a summary of units, items, and reason is shown, with a warning that it can't be undone from StockSnap, before anything is removed.

Transfers

Transfer

Send stock from your current location to another. Requires at least two active locations.

  1. Choose a destination location.
  2. Choose a staff member.
  3. Scan or search each item and enter the quantity to send.
  4. Finish — StockSnap creates a real Shopify transfer and marks it shipped, ready to receive at the destination through Shopify's own POS or admin.
Records

Reports

Every stock take, receipt, removal, and transfer saves automatically — nothing for staff to do. Find the full history at Shopify admin → Apps → StockSnap → Reports.

Each row shows type, location (origin → destination for transfers), staff, and a summary of items scanned and adjustments made — removals also show the reason selected on POS. Click View on any row for full item-by-item detail, plus Export CSV and Export PDF for that report.

Troubleshooting

"Choose a plan to continue using StockSnap" won't go away

No active plan is selected for this store yet. Click Choose a plan, pick one on Shopify's billing screen, and the app unlocks.

"Create a transfer" is greyed out on POS

Your store only has one active location. Transfers need a destination, so at least two active locations are required.

A barcode won't scan, or the item isn't found

For Stock Take, the product may not be in the collection you selected — check Collections in admin, or try a different collection. Use the manual search box (name or SKU) as a fallback in any mode.

A staff member isn't showing up in the picker

They need to be added and enabled in Settings → Staff. Adding a name alone isn't enough if their toggle is off.

Item names are getting cut off while scanning

Turn off Show item images while scanning in Settings, or check just one variant option under Variant display — either frees up space so names display in full.

I don't see my newest report on Home

Home only shows the 5 most recent items. Everything is in Reports, which isn't limited.
